Do we process any sensitive personal information? We do not process sensitive personal information.
Do we receive any information from third parties? Yes. We receive your Roberts Space Industries (RSI) profile information, and your Discord profile information if you have linked Discord, from Citizen iD when you sign in. We also read public information from the RSI website to verify accounts and organizations, and we receive information from Discord when you use the SC Orgs Discord bot.
How do we process your information? We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. 1. WHAT INFORMATION DO WE COLLECT?
Personal information you disclose to us
In Short: We collect personal information that you provide to us.
We collect personal information that you voluntarily provide to us when you register on the Services, when you participate in activities on the Services, or otherwise when you contact us.
Personal Information Provided by You. The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The personal information we collect may include the following:
- Star Citizen profile information: your RSI handle, Spectrum ID, avatar, and whether your RSI account is verified (received from Citizen iD when you sign in).
- Discord profile information, if you have linked Discord to your Citizen iD account or to SC Orgs: your Discord user ID, username, and avatar.
- Email addresses, only if you add one in Settings to receive email notifications.
- Organization membership: the organizations you join, your roles, ranks, units, and permissions in them, and when you joined.
- Events: events you create, your registrations and attendance, and event reviews.
- Recruitment and organization records: applications you submit, onboarding progress, performance reviews, skills, certifications, and document acknowledgments, as recorded by you or by your organization. When you acknowledge an organization document, we record the time and the IP address it was acknowledged from, and members of that organization with permission to view HR analytics can see these acknowledgment records, including the IP address.
- Content you post: comments, ratings, reviews, knowledge base articles, guides, "looking for organization" listings, reputation reports and attestations, and other Contributions.
- Operations data: dispatch requests and responses, fleet, hangar, treasury, diplomacy, and other records you or your organization enter.
- Settings and preferences: your preferred language, notification preferences, and profile visibility choices.
- Two-factor authentication data, for site administrators who enroll in it, including a security log of verification events with the IP address and browser user agent.
- Information you give us when you contact us for support.
Information about other players
Some features let users and organizations record information about Star Citizen players by their in-game handle, including players who do not use SC Orgs: for example, reputation reports, player tags and comments, and organization dossiers and encounter reports. This information is limited to in-game activity. Our Legal Terms prohibit using it to find out or reveal anyone's real-world identity or location. If you believe information about you is wrong or abusive, contact us.
Live status from the companion app
If you use the SC Orgs companion app and connect it to an organization, the app reads the Star Citizen game log on your computer and sends your in-game status to that organization's members in real time: your in-game handle and player ID, server shard, in-game location and zone, ship, in-game status (for example alive, injured or dead), quantum travel target, and in-game events. This is information about your character in the game; the app does not collect your real-world location. We keep this live status in memory only, not in our database, and discard it about five minutes after you go offline. The app stores its sign-in credentials in your operating system's secure credential store.
Information automatically collected
In Short: Some information, such as your Internet Protocol (IP) address and browser and device characteristics, is collected automatically when you visit our Services.
Like most websites, our servers and our hosting and security providers process your IP address and basic browser and device information to deliver the Services, keep them secure, and limit abuse. Specifically:
- Server logs: our servers log the requests they handle: the time, the request method and API route (without query strings), and your account ID if you are signed in. Some log messages also include your RSI handle or the email address a notification was sent to. They do not record your IP address.
- Rate limiting: we count requests per IP address, in memory only, for a short time to prevent abuse.
- Error reports: when something breaks, an anonymous error report is sent to BugSnag, as described in section 5.
- Page views (older records): an earlier version of SC Orgs recorded views of organization and event pages, with the page, the date, your account if you were signed in, your IP address, and your browser user agent. The current site no longer records page views. In these older records, IP addresses are stored hashed: we replaced each IP address with a keyed hash (HMAC-SHA256, with a key that is different for each day) and no longer keep the IP address itself, and we shortened the browser user agent to its first 256 characters. Records of visitors who were not signed in are deleted 90 days after the visit. Records linked to your account are included in your data export and are deleted when you delete your account.
If you accept analytics in our cookie banner, we also collect usage information as described in "DO WE USE COOKIES AND OTHER TRACKING TECHNOLOGIES?" below.
Sensitive Information. We do not process sensitive information.
Social Media Login Data. We provide you with the option to register with us using Citizen iD, which can share your RSI and Discord account details with us. If you choose to register in this way, we will collect the information described in the section called "HOW DO WE HANDLE YOUR SOCIAL LOGINS?" below.
All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.
2. HOW DO WE PROCESS YOUR INFORMATION?
In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We may also process your information for other purposes with your consent.
We process your personal information for a variety of reasons, depending on how you interact with our Services, including:
- To facilitate account creation and authentication and otherwise manage user accounts. We may process your information so you can create and log in to your account, as well as keep your account in working order.
- To deliver and facilitate delivery of services to the user. We may process your information to run organizations, events, recruitment, operations tools, and the other features you use, and to show your information to the organizations and users it is meant for.
- To send you notifications. We may process your information to send you the in-app, email, and push notifications you have turned on, and to post event and organization updates to Discord servers your organization has linked.
- To protect our Services. We may process your information as part of our efforts to keep our Services safe and secure, including fraud monitoring and prevention, abuse prevention, and investigating reports.
- To fix problems. We process anonymous error reports to find and fix bugs.
- To identify usage trends. With your consent, we may process information about how you use our Services to better understand how they are being used and to improve them.
- To save or protect an individual's vital interest. We may process your information when necessary to save or protect an individual's vital interest, such as to prevent harm.
3. WHAT LEGAL BASES DO WE RELY ON TO PROCESS YOUR INFORMATION?
In Short: We only process your personal information when we believe it is necessary and we have a valid legal reason (i.e., legal basis) to do so under applicable law, like with your consent, to comply with laws, to provide you with services to enter into or fulfill our contractual obligations, to protect your rights, or to fulfill our legitimate business interests.
If you are located in the EU or UK, this section applies to you.
The General Data Protection Regulation (GDPR) and UK GDPR require us to explain the valid legal bases we rely on in order to process your personal information. As such, we may rely on the following legal bases to process your personal information:
- Consent. We may process your information if you have given us permission (i.e., consent) to use your personal information for a specific purpose, such as analytics. You can withdraw your consent at any time. Learn more.
- Performance of a Contract. We may process your personal information when we believe it is necessary to fulfill our contractual obligations to you, including providing our Services, or at your request prior to entering into a contract with you.
- Legitimate Interests. We may process your information when we believe it is reasonably necessary to achieve our legitimate interests and those interests do not outweigh your interests and fundamental rights and freedoms, for example to keep the Services secure, to prevent abuse, and to fix errors using anonymous error reports.
- Legal Obligations. We may process your information where we believe it is necessary for compliance with our legal obligations, such as to cooperate with a law enforcement body or regulatory agency, exercise or defend our legal rights, or disclose your information as evidence in litigation in which we are involved.
- Vital Interests. We may process your information where we believe it is necessary to protect your vital interests or the vital interests of a third party, such as situations involving potential threats to the safety of any person.
If you are located in Canada, this section applies to you.
We may process your information if you have given us specific permission (i.e., express consent) to use your personal information for a specific purpose, or in situations where your permission can be inferred (i.e., implied consent). You can withdraw your consent at any time. Learn more.
In some exceptional cases, we may be legally permitted under applicable law to process your information without your consent, including, for example:
- If collection is clearly in the interests of an individual and consent cannot be obtained in a timely way
- For investigations and fraud detection and prevention
- For business transactions provided certain conditions are met
- If it is contained in a witness statement and the collection is necessary to assess, process, or settle an insurance claim
- For identifying injured, ill, or deceased persons and communicating with next of kin
- If we have reasonable grounds to believe an individual has been, is, or may be victim of financial abuse
- If it is reasonable to expect collection and use with consent would compromise the availability or the accuracy of the information and the collection is reasonable for purposes related to investigating a breach of an agreement or a contravention of the laws of Canada or a province
- If disclosure is required to comply with a subpoena, warrant, court order, or rules of the court relating to the production of records
- If it was produced by an individual in the course of their employment, business, or profession and the collection is consistent with the purposes for which the information was produced
- If the collection is solely for journalistic, artistic, or literary purposes
- If the information is publicly available and is specified by the regulations
4. WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?
In Short: We may share information in specific situations described in this section and/or with the following third parties.
Organizations and other users
SC Orgs is a community platform, so much of what you do on it is shared by design. Organizations you join can see your profile, your membership and roles, and the information you or they record in the organization (for example, applications, rosters, operations records, and companion app live status while you share it), according to the organization's own roles and permissions. Some information is public to everyone, including people who are not signed in and search engines: your RSI handle and avatar, your public profile, public organization profiles and the members they show, public events, comments, ratings and reviews, "looking for organization" listings, and public reputation reports. Your Discord details are only shown on your profile if you choose to make them public in Settings.
Service providers
We use the following service providers to run the Services. They process personal information on our behalf, to provide their service to us:
- Cloudflare: hosts our website, and every request to our website and API passes through its network (content delivery, security, and abuse protection).
- Amazon Web Services (AWS), in the United States: runs our servers (Amazon Lightsail) and our database (Amazon RDS for PostgreSQL) in the US East (Ohio) region, and sends our emails (Amazon Simple Email Service).
- Citizen iD: our sign-in provider. It shares your RSI and linked Discord profile information with us when you sign in.
- Discord: delivers messages and commands for the SC Orgs Discord bot, and notifications your organization posts to its Discord server.
- BugSnag (SmartBear): receives anonymous error reports from our website and servers so we can find and fix bugs.
- Google: Google Analytics receives usage information from our website, only if you accept analytics. Our website also loads fonts from Google Fonts, which receives your IP address and browser information when it delivers the fonts.
- Web push services: if you turn on push notifications, notifications are delivered through the push service your browser or device uses (for example, those run by Google, Mozilla, Apple, or Microsoft).
Other situations
- Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
- Legal Obligations. We may disclose your information where we are legally required to do so, or to protect our rights, our users, or others.
5. DO WE USE COOKIES AND OTHER TRACKING TECHNOLOGIES?
In Short: We use cookies and similar technologies to keep you signed in and to remember your choices. Analytics only run if you accept them. Essential cookies (sign-in) and anonymous error reports are always on.
We use cookies and similar technologies (like your browser's local storage) to access or store information:
- Sign-in cookies (required): an access token cookie that lasts 15 minutes and a refresh token cookie that lasts 7 days keep you signed in, and a short-lived session cookie (10 minutes) protects the sign-in process with Citizen iD.
- Preferences (required): your browser's local storage remembers your cookie choice, language, theme, and similar display settings.
- Analytics (optional): if you accept analytics, Google Analytics sets cookies to measure how the website is used. If you later turn analytics off in Settings, Google Analytics stops and its cookies are deleted.
- Error reporting (essential, anonymous): when something breaks, our website and servers send an error report to BugSnag. Error reports contain the error, the page or API route where it happened (without query strings), the recent pages visited in that tab, and basic browser and device information. They do not contain your IP address, your account, or any identifier for you or your browser, and BugSnag keeps them for 7 days.
When you first visit, our cookie banner asks for your choice, and no analytics run until you accept. You can change your choice at any time on your Settings page.
6. HOW DO WE HANDLE YOUR SOCIAL LOGINS?
In Short: If you choose to register or log in to our Services using Citizen iD, we may have access to certain information about you.
Our Services let you register and log in with Citizen iD, which requires a verified Citizen iD account with your RSI account linked. When you sign in, Citizen iD shares with us your Citizen iD verification status, your RSI handle, Spectrum ID and avatar, and, if you have linked Discord in Citizen iD, your Discord user ID, username and avatar. We do not receive your Citizen iD, RSI, or Discord password.
If you link your Discord account to SC Orgs directly, where we offer it, we receive the same Discord profile information from Discord.
We will use the information we receive only for the purposes that are described in this privacy notice or that are otherwise made clear to you on the relevant Services. Please note that we do not control, and are not responsible for, other uses of your personal information by Citizen iD, Roberts Space Industries, or Discord. We recommend that you review their privacy notices to understand how they collect, use, and share your personal information, and how you can set your privacy preferences on their sites and apps.
7. WHERE DO WE STORE YOUR INFORMATION, AND FOR HOW LONG?
In Short: We store your information in the United States, and we keep it for as long as necessary to fulfill the purposes outlined in this privacy notice unless otherwise required by law.
Where. Your information is stored in the United States: our servers and our database run on AWS in the US East (Ohio) region. Requests reach these servers through Cloudflare's network, which handles each request in the Cloudflare data center closest to you.
We will only keep your personal information for as long as it is necessary for the purposes set out in this privacy notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements). No purpose in this notice will require us keeping your personal information for longer than the period of time in which users have an account with us.
Some information is kept for a much shorter time:
- Companion app live status is kept in memory only and discarded about five minutes after you go offline.
- Server logs are kept for 90 days.
- Error reports are kept by BugSnag for 7 days.
- Rate-limit counters are kept in memory only, for minutes.
- Sign-in cookies expire as described in section 5.
When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.
8. HOW DO WE KEEP YOUR INFORMATION SAFE?
In Short: We aim to protect your personal information through a system of organizational and technical security measures.
We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.
9. DO WE COLLECT INFORMATION FROM MINORS?
In Short: We do not knowingly collect data from or market to children under 18 years of age.
We do not knowingly solicit data from or market to children under 18 years of age. By using the Services, you represent that you are at least 18 or that you are the parent or guardian of such a minor and consent to such minor dependent's use of the Services. If we learn that personal information from users less than 18 years of age has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records. If you become aware of any data we may have collected from children under age 18, please contact us through the SC Orgs Discord server.
10. WHAT ARE YOUR PRIVACY RIGHTS?
In Short: In some regions, such as the European Economic Area (EEA), United Kingdom (UK), and Canada, you have rights that allow you greater access to and control over your personal information. You may review, change, or terminate your account at any time.
In some regions (like the EEA, UK, and Canada), you have certain rights under applicable data protection laws. These may include the right (i) to request access and obtain a copy of your personal information, (ii) to request rectification or erasure; (iii) to restrict the processing of your personal information; and (iv) if applicable, to data portability. In certain circumstances, you may also have the right to object to the processing of your personal information. You can make such a request by contacting us by using the contact details provided in the section "HOW CAN YOU CONTACT US ABOUT THIS NOTICE?" below.
We will consider and act upon any request in accordance with applicable data protection laws.
If you are located in the EEA or UK and you believe we are unlawfully processing your personal information, you also have the right to complain to your local data protection supervisory authority. You can find their contact details here: https://ec.europa.eu/justice/data-protection/bodies/authorities/index_en.htm.
If you are located in Switzerland, the contact details for the data protection authorities are available here: https://www.edoeb.admin.ch/edoeb/en/home.html.
Withdrawing your consent
If we are relying on your consent to process your personal information, which may be express and/or implied consent depending on the applicable law, you have the right to withdraw your consent at any time. You can withdraw your consent for analytics at any time on your Settings page, or by contacting us by using the contact details provided in the section "HOW CAN YOU CONTACT US ABOUT THIS NOTICE?" below.
However, please note that this will not affect the lawfulness of the processing before its withdrawal nor, when applicable law allows, will it affect the processing of your personal information conducted in reliance on lawful processing grounds other than consent.
Account Information
If you would at any time like to review or change the information in your account or terminate your account, you can:
- Download a copy of your account data, or delete your account, on your Settings page.
- Contact us using the contact information provided.
If you own an organization, you need to transfer its ownership to another member before you can delete your account. Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. What other people see stays without your name attached, shown as “Deleted user”: records that belong to an organization (such as events you created, operations, diplomacy and HR records), your comments (so replies to them stay), your reviews, and your votes and ratings (counted anonymously). Your personal data, such as your email addresses, linked Discord account, sessions, settings, memberships and notifications, is deleted. However, we may retain some information in our files to prevent fraud, troubleshoot problems, assist with any investigations, enforce our legal terms and/or comply with applicable legal requirements.
Cookies and similar technologies: Most Web browsers are set to accept cookies by default. If you prefer, you can usually choose to set your browser to remove cookies and to reject cookies. If you choose to remove cookies or reject cookies, this could affect certain features or services of our Services. In particular, you cannot stay signed in without our sign-in cookies.
If you have questions or comments about your privacy rights, you may contact us through the SC Orgs Discord server.
11. CONTROLS FOR DO-NOT-TRACK FEATURES
Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this privacy notice.
12. DO CALIFORNIA RESIDENTS HAVE SPECIFIC PRIVACY RIGHTS?
In Short: Yes, if you are a resident of California, you are granted specific rights regarding access to your personal information.
California Civil Code Section 1798.83, also known as the "Shine The Light" law, permits our users who are California residents to request and obtain from us, once a year and free of charge, information about categories of personal information (if any) we disclosed to third parties for direct marketing purposes and the names and addresses of all third parties with which we shared personal information in the immediately preceding calendar year. If you are a California resident and would like to make such a request, please submit your request in writing to us using the contact information provided below.
If you are under 18 years of age, reside in California, and have a registered account with Services, you have the right to request removal of unwanted data that you publicly post on the Services. To request removal of such data, please contact us using the contact information provided below and include your RSI handle and a statement that you reside in California. We will make sure the data is not publicly displayed on the Services, but please be aware that the data may not be completely or comprehensively removed from all our systems (e.g., backups, etc.).

If you have questions or comments about this notice, you may contact us:
SC Orgs
United States
The best way to reach us is the SC Orgs Discord server: https://discord.com/invite/N4Gy8py8J4. Ask a staff member there, and we will move the conversation to a private channel when your request involves your account or personal information.
15. HOW CAN YOU REVIEW, UPDATE, OR DELETE THE DATA WE COLLECT FROM YOU?
You have the right to request access to the personal information we collect from you, change that information, or delete it. To download a copy of your data or delete your account, use your Settings page. The download is a JSON file with your account, your organization memberships and roles, the HR records your organizations keep about you (such as applications, reviews and document acknowledgments), the content you wrote, in full, your older page-view records (with the hashed IP address), and your notifications. You can download it up to 5 times per hour, and each section holds up to 10,000 entries (the newest first; the file says when a section was cut short). Your RSI handle and avatar come from your RSI account through Citizen iD and update the next time you sign in.
Not included in the download: dossiers and encounter records that other organizations keep about you, and reports other users have filed about you. To request these, contact a site administrator through the SC Orgs Discord server. Contact us there too for anything else, or if you cannot sign in.
